Acting as the right hand person to the executive director (ED) of NetFreedom Pioneers, the executive assistant undertakes administrative and managerial responsibilities and helps the ED manage the organization. The executive assistant helps establish and sustain a seamless workflow and high morale among staff and affiliates, maintains accurate and up to date institutional and personnel files, informs the ED of any attention-worthy developments, and helps address challenges and/or opportunities as they arise.

YOUR DAY TO DAY
Your responsibilities include and are not limited to:
- Manage the ED’s communications with staff, board, donors, auditors, office property owners, and city, state and federal authorities
- Manage and prioritize the ED’s calendar, schedule meetings, prepare agendas, and assemble materials as necessary
- Ensure institutional reports to state and federal authorities are reviewed by the ED and submitted on time following approval
- Coordinate travel arrangements and conference registrations
- Manage, restock and track office supplies and inventory items, and ensure the workspace is kept clean and well organized
- Help maintain a friendly, healthy, fair, and respectful office environment and alert management to any issues requiring attention
- Respond to internal and external queries about NFP’s employee handbook, policies, and procedures
- Keep the employee roster up to date, maintain personnel records in the digital filing system, and monitor their status in HR platform for currency and accuracy
- Ensure that the accounting team submits financial reports to the ED in a timely manner
- Monitor requests for procurement of goods and services and ensure they are free of conflicts of interest
- Process employee timesheets, invoices, and expense reports in compliance with internal policies and procedures as assigned
- Process payroll twice a month, and expense reports once a month
- Maintain an updated inventory of NFP’s tangible and intangible assets
QUALIFICATIONS AND EXPERIENCE
Required
- Bachelor’s degree from an accredited college or university
- A minimum of 3 years experience as an executive assistant
- A high sense of integrity, honor, and respect for privacy
- Excellent written and verbal communication skills
- Excellent interpersonal skills
- Time-management skills
- Organized and detail-oriented
- Ability to multitask
- Proficiency in Microsoft Office (Word, Excel)
- Familiarity with project management software such as Monday a plus
